Creating VAR products (temporary products)

January 17, 2024

This plugin lets users create temporary products which are automatically archived when no longer needed.

Plugin only supports regular products. Bundle, Assembly, Matrix and matrix variations are not supported.
This workflow of "temporary products" is useful if:

  • Your sales process typically begins with giving the customer a quote;
  • And many of the quoted products are unique, or not part of your regular inventory. (You will probably order the item only once, for this specific customer only.)

Benefits of a temporary product (VAR-product):

  1. It can be created quickly, while composing the quote;
  2. Will be auto-archived after a period of inactivity (eg. if customer never accepts the quote);
  3. Or, can be promoted to a regular product if it becomes part of regular inventory.

The items for which the customer wants to receive a quote may often only exist in suppliers' catalogs, and might not have been imported into Erply. Thus, these items might not have a long future in the product list, either. Then it doesn’t take a lot of time to create and later to archive this product. But if that product is a success, then it can stay in the product list and user can spend more time to add additional information and place it into appropriate product group and category.

When product becomes inactive, then the product will automatically be archived after 30 days of any action with that product. This means 30 days since selling that product, purchasing that product or moving that product between different locations. The product’s inventory quantity has to be 0, which means that no products are in stock, or reserved.

To prevent a product from being archived, it must be moved to a different product group.

VAR-product plugin can be enabled in apps.erply.com:

When the plugin is enabled, then user can create VAR-product easily on sales document (Invoices, Quotes, Orders) form.

Firstly, desired values for VAR-products can be added in Configuration:

Then, on sales document form, a new button is visible:

Then a new row appears:

It is required to add product code, name and price. Cost and supplier are optional.

When clicking on “Add” button, the product will appear to product row and is added to product list.

The same requirements, as creating a new product on product form, apply:
1. All the required fields have to be filled
2. Product code must be unique
Also:
3. On document form, at least one empty row has to be added (in Classic)

As seen from the following picture, all the values added in configuration and sales document form, are on product form as well:

One more thing to know:

When creating a VAR-product on sales document form, then “Show in webshop” checkbox is disabled

All the described functionality works both in Classic back office and Berlin back office.
