Problem: How to Create and Manage Coupons in Erply
 

Solution 1: Creating a Coupon
 

  1. Navigate to Coupon Rules:
    • In the Erply Back Office, go to Retail Chain -> Coupon Rules.
       
  2. Create a New Coupon:
    • Click New to start creating a new coupon.
       
  3. Set Coupon Parameters:
    • Name: Enter a descriptive name for the coupon.
    • Code: Choose a unique code that customers can use to redeem the discount.
    • Issue Period: Define the validity period of the coupon. Leave the "Until" field blank if you do not want the coupon to expire.
    • Store: Select the store(s) where the coupon can be redeemed.
       
  4. Define How the Coupon is Issued:
    • Manually: Coupons must be activated manually, such as by scanning a barcode or entering a code.
    • According to Rules: Set conditions for the coupon to apply:
      • Purchase Sum: Coupon applies when a customer spends a certain amount.
      • Total Amount of Reward Points: Coupon consumes loyalty points (define the number of points required).
      • Exceeds: Set a balance requirement (dollars or reward points) for the coupon to activate.
         
  5. Print Coupon Options:
    • Automatically: Coupon will print automatically after a transaction.
    • Ask Each Time: Erply will prompt you to print a coupon after a transaction.
       
  6. Select the Promotion:
    • Choose which promotion the coupon will apply to.
       
  7. Specify Reward Points Consumption:
    • Define how many reward points this coupon will consume (leave blank if none).
       
  8. Save the Coupon:
    • Click Save. Erply will show a status message indicating if the coupon is active.

Solution 2: Linking a Coupon to a Promotion
 

  1. Navigate to Promotions:
    • Go to Retail Chain -> Promotions in the Back Office.
       
  2. Create or Edit a Promotion:
    • When creating or editing a promotion, you have the option to associate an existing coupon.
  3. Associate the Coupon:
    • Ensure that the coupon is presented and all coupon rule requirements are met for the promotion to be redeemable.
       

Solution 3: Reporting on Coupon Usage

  1. Access Coupon Reports:
    • Navigate to Reports -> Coupons, Gift Cards.
       
  2. View Coupon Details:
    • Select Coupons, Gift Cards and Store Credit Report to view information on all coupons issued and redeemed within a specified time range.
       
  3. Locate Coupon Identifier:
    • Go to Retail Chain -> Issued Coupons to find a coupon’s unique identifier.
    • Click on a coupon to view details such as store location, register, cashier, etc.
       

Solution 4: Manually Adding and Printing Coupons at the POS
 

  1. Add a Coupon to an Order:
    • At the POS, select Coupons Sales.
    • Scan the coupon code or manually enter the coupon’s serial number. The coupon will apply if the sale meets the requirements.
       
  2. Print a Coupon:
    • Click on Print Coupons.
    • Select a coupon from the list and click the “printer and paper” button to print.
       
  3. Reprint Issued Coupons:
    • Go to Recent Sales.
    • Find the invoice and click on Print Coupon to reprint.
       

Solution 5: Managing Unused Coupon Alerts
 

  1. Disable Unused Coupon Popup:
    • Navigate to POS Settings -> Configuration -> General.
    • Check the box for Disable Customer Unused Coupons Popup to prevent the alert from appearing when a customer with unused coupons is selected.
       
  2. Reopen Unused Coupon List:
    • If needed, click on the COUPONS grid button to view unused coupons again.
       

Solution 6: Frequently Asked Questions
 

  1. How Do I Know if a Coupon Has Been Used?:
    • Pull a coupon report in the Back Office to see which coupons have been used.
       
  2. Can a Coupon Be Used for Multiple Promotions?:
    • No, a coupon can only be associated with one promotion at a time.
