How to use the Invoice app

Log into the Invoice app

Login with your Erply username, password,and account code. Contact support@erply.com if you forgot your credentials.
Select a store location where the sales documents will be sent from. This can be changed later if necessary. 
If you have several locations in your Erply account, you can search for a specific location using the search bar at the bottom of the screen.

Using the Invoice app

When creating an invoice, you’ll need to select a sales document type

Invoice - invoice-waybill will be created. It removes sold goods from inventory, as well as generates revenue.
Order - select this document type if you have a request from a customer to buy certain items. 
Waybill - waybills are used for inventory purposes. When you create a waybill, it pulls the items out of inventory but does not accept payment. It is a document issued by a carrier giving details and instructions relating to the shipment of a consignment of goods. 

The Invoice app allows you to add the following information:

Customer (required)
Products (required)
Due date
Shop-to-customer
Some of these fields will vary by sales document type.

User rights

Please note that the user logged into the Invoice app must have the appropriate user rights set to create the following documents:

Invoice and waybill: The user made have “adding” permissions in the “Invoices” module.
Order: The user must have “adding” rights in the “Sales orders” module.

Invoices

Selecting New Invoice allows you to create and send invoices to your customers.  

Adding and removing products 

You can search products manually from your Erply product catalog by selecting the Add product button or by pressing the Scan button and scanning an EAN code using your device’s camera. 
If you select the “add product” button, the app will pull up a list of your available products. Scroll through the list or search for a product. You also can click Product groups in the top right corner to filter out product groups.
To remove a product from a sales document, swipe left/right or set the amount to 0.

Saving and sending invoices

Tap Save to create the invoice and sync it with your Erply back office account. Saved documents will have a “draft” status.
Review your document, if the costs and products look corect. Press the Open button to preview the invoice.
To edit the document, press the X button.
You can press Send to email to send the document to customers. Sending is handled by the Erply server.
If everything looks correct, press Finish to confirm the invoice. Invoices cannot be changed once confirmed.

Waybills

Selecting New Waybill allows you to create and send waybills to your customers.  

Adding and removing products

Internal and external notes can be added to the waybill. External notes will be visible to the customer and within your Erply account. Internal notes are only visible within your Erply account. 
If everything looks correct, press Confirm to confirm the waybill. Waybills cannot be changed once confirmed 

Orders

Selecting Submit order allows you to create and send orders to your customers.

If you select the “add product” button, the app will pull up a list of your available products. Scroll through the list or search for a product. You also can click Product groups in the top right corner to filter out product groups.

Tap Save to create the order and sync it with your Erply back office account. Saved documents will have a “draft” status.
To edit the document, press the left arrow button <.
Internal and notes can be added to the order and are only visible within your Erply account. 
If everything looks correct, press Confirm to confirm the order. Orders cannot be changed once confirmed 

Invoice app settings

Press the 3 horizontal lines at the top-right of the main app page to open the settings.
This will open the settings page which will allow you to: 

Log out of the app
Change the app’s designated Erply location or warehouse
Adjust settings (explained below)

Autofocus product search input fieldEnable this option when you use a paired scanner. It will save you a tap when you open the product lookup view (search input field will be filled with the code without activating the field manually).
Automatically add product to sales document when 1 search resultEnable this option when you use a paired scanner. It will save you a tap when there’s only 1 match for the product search - product will be added to sales document automatically.
