In a limited capacity, Erply supports sending email from a custom domain name, through the company's own SMTP server.
This feature only works with certain SMTP servers and there is currently no timeline for expanding support. In particular:
- Outlook / Microsoft 365 is not supported;
- SMTP servers that require connecting to port 465 are not supported.
The steps below help you to test whether this Erply feature works with your email server.
Preparation
- In Erply back office, go to Apps > Apps > App store.
- Search for an app named “Email system” and install it. You will need this for verification later.
Setup steps
- Choose one specific email address you are going to set up for testing. This can be either the general contact address (info@example.com) or a specific employee's email (jane@example.com). Erply will only use the configured SMTP for this sender address, all other email will still be sent via erply.io.
- Some email providers (including Gmail) require you to set up a separate "app password" for Erply. This is likely the case if a) your mailbox on the web is normally protected by two-step authentication or b) if you explore the account & security section of your mailbox settings and there is a dedicated area for creating app passwords..
- In the back office, open Settings > Email settings and navigate to the “SMTP settings” section.
- On the SMTP Settings page, enter:
- Hostname — usually something like “smtp.example.com”. This is documented on the support page of your email provider.
- Port — most likely 587. If the provider requires port 465, Erply does not support this server.
- SMTP username — email address
- SMTP password — mailbox password or app password
- Sender — the sender address for whom this setup is meant for.

Testing the setup
Try to send an invoice to yourself from Erply. The sender field must contain the same address that you chose in the previous section (for example info@example.com or jane@example.com)
If the message does not arrive within a minute or two, look up the sent message in the “Email system” application, in the “Sent” mailbox. At the top of the message, the app displays the status of the email, and an error message (if sending was unsuccessful).

If sending did not work as expected, delete the configuration from the “SMTP settings” page, to revert emailing functionality into a working state.
Further setup options
Some SMTP servers do not require the authentication and sender address to match; Erply can log on as “info@example.com” and send email for both “alice@example.com” and “bob@example.com”.
If that is the case, then you can expand SMTP support for everyone in the company by changing “Sender address” to “default@…” (replace the part before the @-sign with the word “default”). Erply will use these SMTP credentials for every sender under this domain.
If the SMTP server does not allow this, then a separate SMTP setup is required for each individual user (same server, same port, but individual usernames, passwords and sender addresses)
