In the module “Reports” > “Additional links” > “AI reports” in Erply back office, you can ask an AI agent to analyze your Erply data

This tool is like a report generator, but has a wider range of output options. AI can analyze your data for trends and outliers, summarize it, or render it visually as a graph.

How to purchase AI credits

This reporting app has usage-based billing. To top up the credits, click the “Add tokens” button in the top right corner of the app:

On the next page (after the app installation finishes), find the “Buy more” button under “AI tokens”:

 

The credits can be purchased in batches of 100,000, 200,000 or 1,000,000. The number of credits consumed each time you generate report can vary a lot; it depends on the amount of data in the initial dataset. We  recommend to try out a report — and see how many tokens were used. 

After picking the preferred package of credits, you will be redirected to the payment processor to complete the purchase with a credit card. Payments are handled securely by Stripe.

You can return to the “Add tokens” page at any time, to check on the remaining balance and to top it up.

How to use the reporting tool

 

The three main steps to get a report are:

1 - Set a date range. The tool (currently) reports on sales data, so this means: which period of sales you would like to analyze?

2 - Pick a “data source”. To not consume too many tokens, and not to exceed AI's own input limits, we offer sales data in various levels of granularity. For example, the “Total sales by store and product” internally looks something like this:

Here, the detail level is date + product + store (and a total for each product sold in each store, by day). In other cases, you might want to ignore revenue figures and only analyze units sold; or maybe listing individual products in unnecessary and you would rather prefer an analysis at product group level. This is what the different options are for.

3 - What should the report show? Now it is time to get creative! The AI expects a “prompt”: instructions what it should do with the data and how it should render the results. The more detailed commands you give, the better the result. If you expect tabular output, you should list the columns that you would like to see. If you want the data condensed into a graph, tell AI what type of chart it should generate (bar, line, pie) and by which field should the breakdown be done.

In fact, you do not need to write the prompt yourself. You can also pick one of the predefined options from the “Pick a predefined suggestion” dropdown; these are sample prompts written by Erply.

After you click the “Create report” button, the results will appear at the bottom of the page. First, you will see the full prompt that was sent to AI. You can copy it, modify and retry, or you can save it for later use. The saved prompts appear in the “Or choose from saved prompts:” dropdown; this list is shared with the whole company.

The tool requires user group permissions for the “Reports” module. If you do not have this access permission, the page displays an error messages and none of the fields or buttons appear.

Reporting ideas and suggestions

Trend analysis:

Analyze trends. Which product groups increased/decreased month over month? Create an HTML table illustrating percentage changes.

 

Identifying the best performing product groups:

Create a "Top 3 product groups" list for every individual store.

 

Updating the app from the app store

Go to Apps > App Store to update the app to the latest version.
