System users: "automation-user" and "goerp-app-users-user"

Erply uses two special users and user groups for internal functionality. Erply creates these user accounts and the respective groups automatically.

automation-user

User "automation-user" belongs to group "automation-group". Erply uses it for background tasks and scheduled jobs. Background tasks can occur in many apps; scheduled tasks can be data synchronizations (accounting, ERP, ecommerce).

This user account is also involved when installing apps from the app store, so deleting or modifying the user may result in installations and upgrades from the app store no longer working.

goerp-app-users-user

User "goerp-app-users-user" belongs to group "goerp-app-users-group". It is used in interactions that have its own login and own credentials, separate from the main Erply login. Examples:

  1. Erply apps with an isolated login. Most notably Flax POS, but also stocktaking scanning app, cost reporting app and others.
  2. Ecommerce / B2B sites that have a customer login.

Documents and records that get created from these apps, and orders created from these ecommerce sites appear in Erply as being created by "goerp-app-users-user".

Old users and user groups — no longer needed

On some accounts, the following users and groups might be present. These have similarly been automatically created by Erply, but are no longer needed. It is safe to delete them.

Other users and groups

Your account can contain other Erply-related users, but those have been created ad-hoc (during onboarding, for setting up integrations, for resolving issues or delivering custom features) and each one should be inspected individually.

The "Users and employees" app shows the login history (and last login date) for each user.

Reminder: the recommended way to archive a user is to create a group with no permissions (it can be named "No access" or "Former employees") and to move the user to that group. Users in such group are not able to log in to Erply.
